Introducing Epexio
The OUP Archive has successfully completed transition from our previous Collections Management System to a new specialist system, Epexio, managed by Metadatis Ltd. Based in Worcestershire, the Metadatis team combines expertise in software development and information management, and Epexio is now a leading provider in the heritage sector.
The switch was motivated by the fact that our previous Collections Management System will shortly become unsupported, and so we put out a tender to find an alternative. Epexio impressed us with its flexibility and reporting capacity, as well as its easy-to-use browser-based system and options for an OPAC (Online Public Access Catalogue), which we hope to be able to utilise in the future to better support the business and the researchers who use our facilities.
To prepare for the move, our data had to be carefully checked and organised to make sure that it could be safely and completely transferred without any loss of data or connections between records, to bring old data up to modern archival standards, and to consolidate the variety of formats we had for some of the fields. Approximately 150,000 records were transferred on 25 November 2025, and the system went live on 27 November 2025. We are looking forward to exploring the software in the coming months to fully utilise its functionality.
